How we collect, use, and protect your personal data — written plainly, for the community we serve.

1. Who We Are

VidaBelle is a creative network that connects models, photographers, stylists, and brands. Our platform is operated from Munich, Germany, and VidaBelle acts as the data controller for the personal data described in this policy. 2. Information We Collect

We collect only what we need to run the platform and support your creative work:

  • Account data: your name, email address, and a hashed version of your password used for authentication, along with your membership selections.
  • Profile and portfolio data: your display name, creative role, bio, location, and any images, videos, or documents you choose to upload to showcase your work.
  • Community activity: forum posts, event registrations, and other contributions you make in shared spaces of the platform.
  • Usage and technical data: pages visited, features used, and basic technical signals such as IP address and browser type, collected to keep the service secure and reliable.

3. Why We Process Your Data

We use personal data to:

  • Create and maintain your account, authenticate you, and host your profile and portfolio.
  • Power discovery and intelligent matching, so collaborators whose style, availability, and goals complement yours can find each other.
  • Operate community features such as forums, events, and messaging between members.
  • Send transactional communication, including onboarding guidance, booking updates, and security notices.
  • Protect the platform against abuse, fraud, and unauthorized access, and to comply with legal obligations.
  • Understand how the platform is used, in aggregated form, so we can improve it.

4. Legal Bases for Processing

Where the General Data Protection Regulation (GDPR) applies, we rely on the following legal bases:

    Providing the platform itself: your account, profile, portfolio hosting, matching, and messages related to collaborations and bookings you initiate.

    Securing the service, preventing fraud and abuse, moderating the community, and improving the platform — always balanced against your rights and expectations.

  • ConsentArt. 6(1)(a) GDPR

    Optional features such as marketing emails and any non-essential cookies. You may withdraw consent at any time with future effect.

5. Storage, Hosting, and Processors

Our primary application data is stored in a PostgreSQL database hosted within the European Union, and keeping member data in the EU is our standing intent as the platform grows. Media uploads are stored in EU-hosted object storage. We work with a small number of trusted processors, each bound by a data processing agreement under Art. 28 GDPR:

  • Resend — delivery of transactional email, such as onboarding and notification messages.
  • Stripe — payment processing for memberships and bookings. Payment card data is handled directly by Stripe and is not stored on our servers.

6. Data Retention

We keep your personal data for as long as your account is active or as needed to provide the platform. When you close your account or request deletion, we delete or anonymize your personal data, except where retention is required by law — for example, commercial and tax record-keeping obligations — or where a short backup window means copies persist briefly before rolling off automatically. Content you have shared in community spaces may remain visible in anonymized form where removal would impair the integrity of discussions.

7. Your Rights

If you are located in the EU or the EEA, you have the following rights regarding your personal data:

  • Access. Request a copy of the personal data we hold about you.
  • Rectification. Correct inaccurate or incomplete data, most of which you can edit directly in your profile.
  • Erasure. Ask us to delete your data when it is no longer needed for the purposes above.
  • Restriction. Request that we pause processing while a dispute about the data is resolved.
  • Portability. Receive your data in a structured, commonly used, machine-readable format, or have it transmitted to another controller.
  • Objection. Object to processing based on legitimate interests; we will then weigh your grounds against ours.

To exercise any of these rights, email privacy@vidabelle.com. You also have the right to lodge a complaint with a supervisory authority; for us, this is the Bavarian State Office for Data Protection Supervision (BayLDA).

8. Cookies

We keep cookies deliberately minimal. Essential cookies keep you signed in and secure. Any preference or analytics cookies beyond that are set only with your consent, and we do not sell your data or run third-party advertising trackers on the platform.

9. Changes to This Policy

As VidaBelle evolves, this policy may change to reflect new features or legal requirements. If a change materially affects your rights, we will inform you by email or through a clear notice on the platform before it takes effect.
